General Conditions

The 2023 IMTA Conference is being hosted by the Society for Military Psychology (APA Division 19). This Conference will take place in The Netherlands in Amersfoort from October 9th to 12th, 2023.

Business meetings, workshops and opening reception/meet and greet will be on Monday March 7th. The conference program runs March 7th to 10th. There will be a Conference Dinner on Thursday, March 10th, in the evening at the conference site. There is an optional trip the Airborne and Special Operations Museum on Friday, March 11th.

Participants must register in advance and as early as possible in order to benefit from lower registration fees. The registration form will be posted soon. Following registration and payment, each participant will receive a written confirmation by e-mail.

1 - Registration fees

1-1 Conference

Registration fees are based on the receipt’s date of registration form and payment. The prices indicated are per person and are only applicable if BOTH the registration form AND the payment are received before the mentioned deadlines; otherwise the higher registration fees will be applied.

  • Normal registration and payment (until September 5th, 2023): 750 EUR
  • Late registration and payment (after September 5th, 2023): 800 EUR
  • Registration fee for students (no deadline) : 489  EUR
  • Registration fee for former IMTA participants, who are retired now (no deadline) : 489  EUR
Registration will be effective only after full payment is made by the participant. The Conference fees comprise exclusively:
  • Attendance at all plenary sessions, oral sessions and visual presentations
  • Coffee and snack breaks during the conference
  • Group photo and certificate of participation
  • Meet & Greet on March 7th
  • IBTA event on March 8th
  • Conference Banquet on March 10th
  • Conference documentation with all information about the event
The fees do not comprise travelling and accommodation costs. Participants are on their own for lunch except for the keynote lunch. Breakfast is included in the Marriott Crabtree conference rate. See the accommodation page to make reservations.

1-2 Other provisions

Payments for registration have to be settled in EUR. All prices are quoted in EUR. Payment in any other currency will not be accepted. Registrations received without payment will not be processed and confirmed. Registration will be confirmed by means of the confirmation of payment, which will be sent to you upon receipt of the registration fees. An email will be sent to each participant just after the registration process. If the participant has paid online via our website, the payment confirmation e-mail will be a registration confirmation. If he/she has chosen another type of payment, the registration e-mail is a recap of the information he/she entered. In order to benefit from the early registration fees, all payments must be received within the deadlines described in article 1-1. Submission of the registration form without payment within deadlines is not entitled to benefit from the reduced fees at a later date. For all payments received on-site at the registration desk, the late/on-site registration fees apply.

Admittance to the Conference without full registration including payment of the registration fees cannot be granted. Advance payment is highly recommended since this will considerably accelerate your registration procedure upon your arrival at the conference.

1-3 Payment options

The payment of registration fees can be done:

By credit card:
Mastercard, Visa and Maestro are accepted. When you have registered and indicated that you want to pay online with your credit card, you will be able to pay online. The Payment page will be posted soon.

2 - Confirmation of Registration

The Confirmation of Payment & Invoice will be sent to participants by e-mail upon receipt of full payment. Each participant needs to present this confirmation letter upon arrival at the on-site pre-registration desks in order to collect his/her name badge and conference documentation.

If a participant has not received the official registration confirmation within 14 days after his/her payment, he/she must contact the Conference Team.

Upon arrival at the Conference venue, all participants have to register themselves at the Conference Registration Desk.

Upon registration at the Conference venue, the Conference team will provide participants with detailed information about the event and a badge which should be worn visibly at all times. The personalized badge authorizes participants to attend all conference sessions. Kindly be informed that the badge is not transferable to another person. Thank you for understanding that person-related admission and name badges are necessary for event management and security. If a participant loses his/her badge or finds a badge, please come to the registration desk for assistance.

3 – Cancellation Policy

IMTA 2022 reserves the right to cancel any registration forthwith and without liability on its part in the event of any damage to, or destruction of the venue by fire, shortage of labour, strikes, industrial unrest, or any other cause beyond the control of IMTA 2022, which shall prevent it from performing its obligations. In these circumstances, every effort will be made to find an alternative venue or propose a new date for the conference. We are watching the COVID situation closely. If the conference must be postponed for COVID again, we will contact all participants with the alternative date.

Participants are allowed to cancel their registration. Any cancellation of registration must be notified in writing (email) to the Conference Team. Cancellations by participants will be subject to the following conditions:

  • For cancellations received until September 5th, 2023: refund of registration fees minus a 25% administrative charge.
  • For cancellations received until September 15th, 2023: refund of 50% of registration fees.
  • For cancellations received after September 15th, 2023: no reimbursement can be made.

Please note this cancellation policy applies to your registration only: cancelling your hotel booking is something you must settle with the conference hotel. A separate cancellation policy may apply. Airfares, hotels, ground transportation, or other costs incurred by the participants are not reimbursed by IMTA 2022.

Should the conference have to be cancelled and rescheduled for any reason, participants will be notified of options, including any fees associated with choosing a refund verse a transfer to the rescheduled event. The default will be paid conference fees will be applied to the rescheduled conference.

4 - Name Change

All registrations are only valid for the respective person mentioned in the form. A registered participant unable to attend the Conference may nominate (free of charge) a substitute participant by notifying the Conference Team in writing, before September 5th, 2023. The procedure includes giving the last name, first name and email address of the new participant. However, we cannot change the invoice or make any other changes.

After September 5th, 2023, for administrative reasons, no name change can be accepted.

5 – Disclaimer

The Conference Organizer cannot be held responsible for any loss, injury or damage to any property, whatever the cause may be. Liability of persons and enterprises providing means of transportation or other services, however, remains unaffected.

Should, for any reason outside the Organizer’s control (e.g. political or economic circumstances or a case of ‘force majeure’), the venue or speakers change, or the event be cancelled, the organizer will endeavour to reschedule, but shall not be held responsible for any costs, damages or expenses incurred by the participants.

If for any reason the organizer decides to make material changes to this conference, the organizer is not responsible for airfares, hotels or other costs incurred by the participants. The participant takes part in the conference, all tours and trips at his/her own risk.

6 - Copyright

The participant is allowed to use the conference documentation exclusively for his/her personal needs.

7 - Data Protection

We handle data according to the EU General Data Protection Regulation. The data you provide when registering will only be used for administering the conference of the IMTA you register for. If you indicate that you wish to receive information about future publications and conferences of the IMTA and the International Applied Military Psychology Symposium, your name, title and e-mail address will be stored for providing this service until you indicate that you no longer wish to receive this feature.

To facilitate networking and sharing of ideas, we will provide a conference directory. Your name, title, and contact information will be provided to conference attendees and sponsors, unless you opt out of the conference directory.

8 - COVID Protocols

By registering for the conference, the participant agrees to comply with all COVID safety protocols required by the State of North Carolina, the City of Raleigh, the Marriott Crabtree hotel, and the IMTA Conference. Prior to the conference all participants will receive an email with the COVID policy and procedure active for the conference dates. The conference reserves the right to ask for proof of vaccination or a negative COVID test if required by the local authorities.
